Who we are
When Works For You (whenworksforyou.com) is run by Piragua Consulting, LLC, a Minnesota limited liability company. Questions about this policy, or any request about your data, go to hi@whenworksforyou.com.
This policy covers everyone who uses the service: organizers, who set up polls; guests, who answer them; people invited to a poll; and people mentioned in email submitted or forwarded to us. An organizer may have supplied some of that information. They can explain why they invited you or shared it, but you may contact us directly about your privacy or this policy.
What we collect
- Account information. Your name, email address, and password if you set one. If you sign in with a third-party account, we receive basic profile details from that provider, never your password there.
- Event information. What you enter to run a poll: the event details, the names and contact details of the people you invite, and their responses and comments. A display name may be an email address or phone number if that is the information available.
- Communications. Email sent through the Service and email you forward or submit, replies, email headers, quoted or forwarded message history, contact information in those messages, and delivery information.
- Payment information. Our payment processor handles card details; we keep records of your plan and purchases.
- Technical information. Your IP address, browser and device details, cookies needed to keep you signed in, and how the service is used.
Event details, guest names, answers, and comments can be visible to anyone with that poll's link. Treat a poll link as shareable and do not put sensitive, confidential, or unnecessary personal information in a poll or email. The Service is not for protected medical records.
How we use it
- To provide the service: run your polls, record answers, and show results.
- To send email you have asked us to send to your guests.
- To power automated and AI features, such as drafting a poll or interpreting replies.
- To sign you in, keep the service secure, and prevent abuse.
- To take payment and keep track of what you have bought.
- To answer support requests.
- To understand how the service is used and improve it.
We do not sell personal information or use it for targeted advertising. Being invited to a poll does not subscribe a guest to marketing. Guests can unsubscribe from invitations, reminders, and result email across events; requested account, sign-in, security, billing, and other essential service messages can still be sent.
Where applicable, we use contract to provide an account holder's service; legitimate interests for guest scheduling, security, support, and improving the Service, balanced against privacy interests; consent when we ask for it; and legal obligations.
Who else handles it
We rely on service providers for hosting and data storage, email delivery, payment processing, sign-in with third-party accounts, AI-assisted processing, security, and analytics. Each receives only what it needs for the service it provides us and is subject to our agreements. Payment and sign-in providers may also use information under their own policies for security, fraud prevention, legal duties, and other purposes they describe. A current provider list is available on request.
AI providers may receive message contents, including quoted or forwarded history and headers, when you use an AI feature. We do not use poll or email content to train our own models. AI providers process it under their applicable commercial service terms and privacy notices. Our staff may access personal information when needed to provide support or fix a problem, subject to confidentiality obligations.
We operate from the United States. We and our providers may process information in the United States and other countries.
The service may link to other websites. This policy does not cover them, and we are not responsible for their privacy practices.
Beyond those, we disclose personal information only when the law requires it, to enforce our terms or protect someone's safety, or if the business changes hands, in which case the new owner takes on this policy.
How long we keep it
We keep personal information for as long as it is needed for the purposes above: events and account information until deleted or no longer needed for the Service; email and logs for a limited period for delivery, troubleshooting, and security; and financial and legal records as long as needed by law. Archiving an event does not erase it, and deleting an account alone does not erase its events. Limited backup copies may remain for a limited period, and we may keep the minimum needed to honor an opt-out or meet legal duties.
Your choices and rights
- See and correct. Organizers can see and edit their events and account details after signing in. Guests can change their answers from their link.
- Access, correct, delete, or copy. Write to hi@whenworksforyou.com to request these, including removal from an event someone else made. Give us enough information to find your data; we verify a request in proportion to its sensitivity and protect other people's information when responding.
- Limit or object. Where applicable, you may ask us to restrict processing, object to processing based on legitimate interests, or withdraw consent. You may appeal our decision or complain to the relevant regulator.
- Stop guest email. Guests can use the unsubscribe link in an invitation, reminder, or result email, or contact us.
- Privacy signals. Our analytics respects Do Not Track and Global Privacy Control signals.
We handle requests promptly and respond by the deadline that applies to the request, explaining any lawful extension or exception. We do not discriminate against you for exercising applicable privacy rights.
Children
The Service is for a general audience 13 and older, and we do not knowingly collect personal information from children under 13. Organizers should not send children under 13 here. Anyone can report a concern to hi@whenworksforyou.com. If we learn that a child under 13 gave us information, we will review the report, verify it as appropriate, and take steps to remove the information and stop related processing.
Security
We use reasonable technical and organizational measures to protect personal information, including encryption in transit. No system can be completely secure.
Changes to this policy
When we change this policy we update the date at the top. For a material change, we will post notice on the site and, when appropriate, email account holders before it takes effect. We will seek additional consent where the law requires it.
